Getting started
How quickly can we start with a virtual assistant?
Most clients complete discovery, matching, and onboarding in 1–2 weeks, depending on role complexity and hours required. Quick replies from you during matching help keep things moving. Your VA keeps learning your business after day one, and our team watches those first weeks closely.
How do I get started?
Book a free 15-minute discovery call. Fill in the short Get Started form on this website, call us at +1 (669) 221-5855, or email info@
What happens on the free discovery call?
It's a 15-minute, no-obligation conversation that helps us make the right match. We'll ask about your business and goals, the tasks you want to hand off, your schedule and time zone, the tools you use, and how you like to communicate and manage. We'll also ask what kind of person works well with you. If Archers isn't the right fit, we'll tell you.
How do I know if I'm ready to hire a virtual assistant?
You're probably ready if your to-do list regularly outlasts your day, you spend hours on email, scheduling, or data entry, growth work keeps getting pushed back, or customers wait too long for replies. If you can name a few tasks someone else could do, that's enough to start. The discovery call takes 15 minutes and gives you a clear answer either way.
How should I prepare before my VA starts?
A little preparation goes a long way. List the five to ten tasks you want to hand off first. Jot down how you handle recurring tasks, even as rough bullet points. Set up role-specific logins for the tools your VA will use. Book a first-week orientation, and decide how often you want to check in. We can help you plan that first week.
Do I need written SOPs before I hire a VA?
No. Many clients start with no formal processes at all. What helps is a clear idea of which tasks you want to hand off first. Your VA can document processes as they learn them, build templates, and turn the way you work into written steps. Training a VA often brings useful clarity to how your business runs.
Can I hire a VA part-time?
Our model is built around full-time, dedicated VAs, because that's what gives you consistency and a VA who really learns your business. If you're not sure you have a full-time workload yet, raise it on the discovery call. We'll help you map out what you could hand off and talk through what makes sense for your business.
How it works
How does the Archers process work?
There are three steps. First, a free 15-minute discovery call to learn your business, workflow, and the kind of person who fits your team. Second, we handpick and train an office-based VA matched to you, and introduce you before they start. Third, we manage, supervise, and train your VA continuously, handling HR and quality control so you can focus on your business.
Do you match virtual assistants to our business culture and goals?
Yes. We assess your goals, tools, schedule, and work style, then handpick and train a VA who fits your processes and company culture for long-term success. We match on personality as well as skills, because a VA with the right skills and the wrong fit rarely lasts. A fast-moving owner and a methodical assistant can both do great work, but they need to be paired with care.
Do you keep managing my VA after they start?
Yes. This is the core of what we do. Supervisors work on our office floor every day, keeping an eye on attendance, work quality, and communication. We run regular quality checks, keep training your VA, and handle HR. Unlike a freelancer marketplace, where you're on your own after hiring, you have a whole team behind your VA.
What do I manage, and what does Archers manage?
You manage the work: tasks, priorities, deadlines, and feedback. We manage the person: attendance, conduct, skills training, quality checks, and HR. You get a full-time team member who knows your business, without becoming their HR department.
How do you check the quality of my VA's work?
In layers. Before placement, we match carefully on skills and fit and train your VA for your role. During the engagement, supervisors on the floor oversee the daily work and we run regular quality checks. We also check in with you, so small issues get fixed early. Training continues the whole time, so performance keeps improving instead of slipping.
How do you choose and screen your VAs?
We look at each applicant's experience, résumé, and LinkedIn profile, and pay close attention to how they communicate. For your role, we handpick candidates whose skills, schedule, and personality fit what we learned on your discovery call, then train them for your workflow. Our VAs are members of our office team, not anonymous freelancers. If your business needs extra screening, raise it on the call.
Who handles HR for my VA?
We do. Your VA is part of our office team, and we handle HR, including attendance, leave, conduct, and performance management. You direct the day-to-day work; we take care of the people side. The details of the arrangement are set out in your service agreement. For tax questions specific to your business, check with your own accountant.
What happens when my VA is sick, on leave, or off for a holiday?
Because we handle HR, we manage your VA's leave and let you know about planned time off in advance. Philippine public holidays don't always line up with US ones, so we share the holiday schedule ahead of time. If your role needs continuous coverage, such as a receptionist, tell us on the discovery call so we can plan for it together.
What if my VA isn't the right fit?
Tell us early. We'll look at what's behind it, whether that's a training gap, unclear expectations, or a real mismatch. Most issues can be fixed with coaching and extra training. If the fit still isn't right, we'll talk with you about matching a different VA. We won't ask you to put up with a VA who keeps missing the standards you agreed on.
Do I need to provide equipment for my VA?
No. Your VA works at our office, on our internet and power, so there's no home setup for you to check and no hardware to ship. What you may need to provide is access: a user seat in tools like your CRM, email, or phone system, so your VA can work inside your systems.
Your VA
Which tasks can your virtual assistants handle?
Common tasks include inbox and calendar management, customer support, reception, data entry, bookkeeping support, social media assistance, and CRM updates. VAs also handle research, outbound calls and appointment setting, invoicing support, file organization, and travel coordination. If a task is repeatable and can be done on a computer or phone, a trained VA can usually take it on.
Is my VA dedicated to my business?
Yes. We place full-time VAs who work your agreed schedule and focus on your business. They learn your systems, your customers, and the way you like things done, and they grow with your business over time. That's the opposite of a freelancer who splits their week across several clients.
Can my VA work US business hours?
Yes. The Philippines is 12 to 13 hours ahead of US Eastern Time, but working US hours is standard practice in the Philippine outsourcing industry. We schedule your VA to your hours, whether you're on Eastern, Central, Mountain, or Pacific time, and your schedule is part of how we match you.
Will language or accent be a problem?
For most clients, no. English is an official language in the Philippines and the language of schools, business, and government, and many professionals have years of experience with US clients. We match communication skills to the role: a live receptionist needs clear, professional phone skills, while a data entry role leans more on written accuracy.
Can my VA make and take calls for my business?
Yes. Receptionist, customer service, and outbound calling roles are built around phone work. Your VA can answer in your company's name, screen and route calls, take messages, book appointments, and make outbound calls, usually through your existing business phone or VoIP system. We'll talk through your setup during onboarding and agree on a call-handling script that fits your brand.
Can a VA be my live receptionist?
Yes. We place live receptionists and dedicated receptionists who answer your business line in your company's name, greet callers, screen and route calls, take accurate messages, schedule appointments, and answer common questions. For professional service businesses, never missing a call and greeting every caller well makes a real difference to how clients see you.
Can a VA handle outbound calling and lead generation?
Yes. Our outbound calling agents and sales development representatives work your prospect lists, make cold and warm calls, qualify leads against your criteria, book appointments on your calendar, and keep your CRM up to date. You and your sales team spend more time closing and less time prospecting.
Can a VA handle bookkeeping?
Yes, day-to-day bookkeeping. Our bookkeepers can create and send invoices, track payables and receivables, categorize expenses, reconcile bank and credit card statements, keep QuickBooks or Xero up to date, and prepare reports. They aren't CPAs and don't give tax advice, so keep your licensed accountant for tax work. Clean books all year can make that work simpler.
Can a VA manage my social media?
Our social media response specialists monitor and reply to comments, messages, and reviews across your platforms in your brand voice, so your audience gets timely answers without taking up your time. The role focuses on engagement and community management rather than high-level strategy or original content creation, which are usually separate disciplines.
Can a VA support my online store?
Yes. Our e-commerce assistants create and update product listings, manage orders, track inventory, answer customer questions, process returns, talk with suppliers, and keep on top of reviews on platforms such as Shopify, Amazon, Etsy, eBay, and WooCommerce. That frees you to focus on sourcing, marketing, and growth.
How can a VA help a real estate business?
Real estate assistants keep your pipeline moving. They enter leads in your CRM and handle follow-up, set appointments and coordinate property tours, update listings, prepare transaction paperwork for your review, answer email and phone inquiries, and pull market research. They support licensed agents but don't perform licensed duties. You spend more time with clients while the admin stays current.
Can a VA support an investment advisory firm?
Yes, on the operational side. VAs help advisory firms with client communication, appointment scheduling, CRM updates, research compilation, report formatting, non-advisory paperwork, and event or webinar coordination. They don't give investment advice or execute trades. Regulated advisory work stays with your licensed professionals.
What tasks shouldn't I give a virtual assistant?
Anything that needs someone physically present, such as in-person meetings, local errands, or notarization. Keep licensed or regulated work with licensed professionals too: tax preparation, legal or medical decisions, investment advice, and licensed real estate duties. Your VA can still support all of these with scheduling, research, client communication, and document preparation.
What software can my VA work with?
Our VAs work inside the tools you already use. Common examples include CRMs such as Salesforce, HubSpot, GoHighLevel, Zoho, and Pipedrive; Slack, Microsoft Teams, Zoom, and Google Meet; Asana, ClickUp, Trello, Monday.com, and Notion; Google Workspace and Microsoft 365; QuickBooks Online and Xero; and Shopify and Amazon Seller Central. If your software is niche, a short recorded walkthrough gets your VA up to speed quickly.
Can AI replace a human virtual assistant?
For narrow tasks such as template emails or summaries, AI helps. It can't replace a person who notices a frustrated customer, makes a judgment call when something unexpected happens, handles a live phone call, or remembers how you like things done. With your approval, your VA can use AI tools to draft faster, and then checks the result before anything goes out.
Pricing & billing
How much does a virtual assistant from Archers cost?
Pricing depends on the role, the hours you need, and the skill level involved, so we don't publish a one-size rate that may not fit your situation. Instead, we give you a personalized quote after the free 15-minute discovery call, once we understand what you need. There's no obligation, and you'll know the numbers before you commit.
What does the Archers service include?
More than your VA's time. We handle sourcing and matching, onboarding and skills training, daily supervision on our office floor, quality checks, HR, and the office setup your VA works from, including stable internet and power. Your quote and service agreement confirm exactly what's included for your role.
Are there other costs I should plan for?
The main one is software. Your VA may need a user seat in tools you already pay for, such as your CRM, project management tool, or phone system. Fees and billing terms for your engagement are set out in your quote and service agreement, so ask on the discovery call if you want the full picture before you commit.
How does the cost compare with hiring a freelancer?
A freelancer's rate pays for one person's time. With Archers, you also get the office, daily supervision, training, HR, and quality control around your VA. A freelancer can look cheaper until you count the weeks lost training someone who then disappears. We'll quote your role after the discovery call so you can compare fairly.
How do I work out whether a VA is worth it?
Start with what an hour of your time is worth: your annual revenue divided by the hours you work. Estimate how many hours a week go on tasks a VA could do, multiply the two, and compare the result with your quote. Then add what you'd do with that time back, such as winning new clients, and the cost of missed follow-ups and slow replies.
Do I have to sign a long-term contract?
Your terms are set out in your service agreement before you commit, and we're happy to walk you through them on the discovery call. We'd rather earn your business through results than lock you in. Our Refund and Cancellation Policy, linked at the bottom of every page, explains notice periods and when refunds apply.
How does billing work, and how can I pay?
Billing cycles, payment terms, and accepted payment methods are confirmed in your service agreement during onboarding. If you'd like to know before you book a call, email info@
Working together
How do I communicate with my VA day to day?
Through the tools you already use. Most clients pick one main channel and stick to it: Slack, Microsoft Teams, WhatsApp, or email for messages; Zoom, Google Meet, or Teams for calls; and a project tool such as Asana, ClickUp, or Trello for tasks. Your VA adapts to your setup, not the other way around.
How much time will I spend managing my VA?
Less than most owners expect. The first few weeks take more of your time while you show your VA your systems and preferences. After that, most clients settle into a short daily check-in to set priorities, a weekly review, and a monthly look at results. Because we handle attendance, training, and HR, your time goes into directing the work, not managing the person.
How do I give feedback or raise a performance issue?
Give feedback early, clearly, and specifically: what went wrong, what good looks like, and what should happen next time. Our VAs are trained to take feedback professionally. If an issue continues, tell our team. We'll look into the cause, coach or retrain your VA, and take action at the HR level when needed. You never have to handle a performance problem alone.
How do I get the best results from my VA?
Be specific about what done looks like. Give context, not just instructions, because VAs who understand why a task matters do better work. Grant access to the tools they need early. Give feedback quickly, and say thank you when things go well. Then keep adding responsibility as trust builds. Many owners underestimate how much they can hand off.
How do I teach my VA our brand voice?
Share a short guide to your tone, a few dos and don'ts, and five to ten real messages you're proud of. Check your VA's first batch of client messages before they go out and give written feedback. Once their messages consistently sound like you, switch to spot checks. For phone work, agree on a call-handling script during onboarding.
Can my VA work with the rest of my team?
Yes. Your VA can join your team's chat channels, project tools, and meetings, and work alongside your staff, contractors, or vendors. Introduce them to the team, explain their role, and share how your team communicates. Many VAs become the coordinator who keeps everyone's tasks and follow-ups on track.
How should I share passwords and account access with my VA?
Never send passwords in plain text by email or chat. Use a business password manager, such as 1Password, Bitwarden, or LastPass, to share credentials. Where you can, give your VA their own user account in each tool instead of your main login, with only the access the role needs. Turn on multi-factor authentication for any shared accounts.
How do you protect my business information?
Your VA works from our supervised office, not a home, which gives more control over how your information is handled. On your side, give role-based access only, use a password manager, and turn on multi-factor authentication. Many clients also ask their VA to sign a client-specific NDA. If you need one, or specific data-handling rules, raise it on the discovery call and we'll plan it into your onboarding.
What if my VA will handle health records or other regulated data?
Raise it before your VA gets access. If you work under rules such as HIPAA, or you serve EU residents under GDPR, talk to your compliance advisor about the agreements and safeguards you need, and tell us on the discovery call. We'll go through the data-handling requirements with you during onboarding. We don't provide legal or compliance advice.
Can I add more VAs later?
Yes. A common path is to start with one general VA and add roles as the business grows, such as a customer service representative, an outbound caller, or a bookkeeper. Each new VA goes through the same discovery, matching, and onboarding. Once you have several VAs, keep everyone in one project tool and give each person a clear lane.
About Archers
What makes office-based virtual assistants more reliable than freelancers?
Our VAs work full-time from a managed office in Dasmariñas, Cavite, Philippines, with dedicated supervision, stable internet and power, ongoing training, and quality checks. That means consistent communication and on-time results. A freelancer often juggles several clients, trains themselves, works from a home setup you can't see, and can disappear without notice, leaving you to start over.
Where are you located and what hours do you operate?
Our office is in Level 1, Mommy Sonia's, N. Guevarra, Zone 1, in the City of Dasmariñas, Cavite, Philippines, where more than 110 people work on the floor. We serve businesses across the US. Our sales team is available Monday–Friday, 9:00 AM–5:00 PM Eastern, at +1 (669) 221-5855 or info@
What makes Archers different from other VA agencies?
Three things work together. Our VAs are office-based: they work from our supervised office in the Philippines, not from home. We match on fit, not just availability: we learn your goals, tools, schedule, work style, and personality before we choose your VA. And we stay involved: we handle onboarding, skills training, daily supervision, HR, and quality control, so you can delegate instead of manage.
Why do you use office-based VAs instead of home-based VAs?
Most VA problems start at home: unreliable internet, power outages, household distractions, and nobody checking the work. Our office removes those risks. Your VA works on stable office internet and power, alongside a supervisor and a team, with quality checks built into the day. When an issue comes up, our team can step in quickly and in person.
How does Archers compare with a home-based VA agency?
Home-based agencies place VAs who work from their own homes, usually with basic onboarding, random assignment, and limited quality control. With Archers, your VA works in our supervised office, gets managed onboarding and skills training, is matched to your personality and work style, and has daily supervision and quality checks. Turnover is lower too, because our VAs are full-time and committed.
Why are your virtual assistants based in the Philippines?
The Philippines has a deep pool of professionals with strong written and spoken English, long experience supporting US businesses, and a close familiarity with American business culture. Working US hours is standard practice in the Philippine outsourcing industry. It's also a cost-effective way to add a full-time, supervised team member to your business.
What roles can I hire through Archers?
We place 15 roles: general virtual assistants, executive assistants, personal assistants, customer service representatives, live receptionists, dedicated receptionists, combined CSR and reception roles, outbound calling agents, sales development representatives, social media response specialists, bookkeepers, CRM data entry assistants, IT help desk support agents, e-commerce assistants, and real estate assistants. If your role doesn't fit neatly, describe it on the discovery call.
Which industries do you work with?
We support coaches and consultants, e-commerce businesses, investment advisors, construction companies, marketing and sales agencies, startups, staffing companies, and real estate professionals. Industry context shapes every match: a VA supporting a real estate agent needs different skills from one supporting a marketing agency. If your industry isn't listed, ask us. Most businesses with repeatable work can hand some of it off.
Is an Archers VA the same as a call center agent?
No. A call center or BPO agent usually works across a shared pool of accounts on scripted, high-volume calls. Your Archers VA is dedicated to your business. They learn your brand voice, your processes, and your customers, and they aren't shared with other accounts. Even in customer service and reception roles, they work like an in-house team member who sits in our office.
